Features
Everything Magnetask does today. Choose one to see it work.
Catches the ask where it was said, before anyone has to write it down.

- Reads for asks, not noise
- A fast, misspelling-tolerant filter runs over every message locally - no AI cost, nothing stored. Only messages that genuinely look like a request go any further.
- Human-approved by default
- Every suggestion lands in a review queue before it becomes real. Nothing is silently created and assigned to somebody without a person looking at it first.
- Bulk approve
- A whole queue of clean suggestions can be confirmed in one click, so reviewing is seconds rather than a chore.
- Full context on every draft
- Who asked, where, when, and a link straight back to the original message - so approving never means trusting a summary.
- Message the bot directly
- Anyone can DM Magnetask to add a task for themselves. It is the one case that skips the queue, because a self-directed request has nobody to approve it.
- Opt-in auto-confirm
- Once a team trusts the accuracy, an admin can auto-confirm the one unambiguous case: a message naming exactly one teammate. Everything else still waits.
Then it behaves like a task manager should.

- Board and table
- Drag-and-drop between stages, or a dense sortable table - switchable instantly. Every change is live for the whole team without a refresh.
- Rich task detail
- Title, description, tag, priority, deadline, assignee and a running notes thread, with a full audit trail of who changed what and when.
- View before edit
- Opening a task shows a read-only view; editing is a deliberate act, so nothing changes by accident. Admins can still reassign in one click.
- Deadline urgency at a glance
- Due dates are colour-coded on every card and in every task: lime, mustard and red. Urgency never requires doing the date maths yourself.
- Unassigned work cannot hide
- Anything with nobody attached is flagged in red everywhere it appears, with a dedicated filter so admins can sweep and triage in one place.
- Round-robin assignment
- Let Magnetask spread incoming work evenly across the team, instead of it all landing on whoever is most visible.
- Today, in one panel
- Beside the board: what is late, what is due today, who you are waiting on, what is waiting for your review, and today's meetings with a join button.
- Email from the task
- Write and send from the task itself, to the contact it is about, and the letter is logged on the task.
- AI drafts it, or polishes yours
- Ask for a draft and it is written from the task - who asked, what for, by when. Or write it rough yourself and one press makes it a letter, with nothing added you did not say.
- The reply lands on the task
- The answer arrives on the task it belongs to, not in an inbox you have to search, with the whole thread kept together.
- It asks whether that closes it
- When the reply comes in, the task asks one question: does this close it? One press moves it to Completed; not yet, and it stays where it is.
- A ✅ in the chat closes it
- React ✅ to the message that raised the task and it completes on the board; on a draft still in the review queue, the draft goes. Opt-in, per workspace - and a task already in progress is left alone.
- Waiting on others
- A task with an email out and nothing back is marked as waiting, and clears itself the moment the person writes back. Your day shows who you are still waiting on.
- The whole story, on the task
- Who asked, who approved, every change, every email out and every reply back, every note - one trail on the task itself, so nobody has to ask what happened.
Built for more than one person.
Pick one on the leftbelow to see it work.
- Three real roles
- Members work the tasks assigned to them. Admins also manage people, delete tasks and open Analytics. Only the Owner handles the plan and billing, changes an Owner, creates another workspace or deletes this one - each rule checked on the server, not a hidden button.
- Private until you share
- Connect your own mailbox and what it catches lands in your own review, then on your board marked Private - nobody else sees it, not even an admin, until you press Share with the team.
- Notifications that matter
- Assigned to you, due today or tomorrow, overdue - in-app with live toasts, and by email in your own morning, wherever you are. Each person controls their own email alerts.
- Multiple workspaces
- Run separate workspaces from one account and switch between them, sharing a single seat pool rather than paying for the same person twice.
- Seven interface languages
- English, Spanish, French, German, Italian, Portuguese and Chinese - chosen per person, not imposed on the whole workspace.
- Analytics for admins
- Throughput, time to close and overdue rates, by person and by period, from the same data the board runs on.
- Accessibility built in
- Light or dark, colour-vision modes and high contrast, chosen per person. Reduce Motion is respected throughout the product, including every animation on this website.
A task is always about somebody.
Pick one on the leftbelow to see it work.
- Contacts, wherever you know them
- The people your workspace deals with, in one place, from your chat, your email, Google Contacts, a phone's vCard or your CRM - paged and filtered, so an address book of thousands is still one screen.
- A task knows who it is about
- Capture finds the person named in the ask and links the task to their record, so the email, the meeting and the follow-up all start from the right contact.
- Merge duplicates
- Find duplicates reads the whole list and pairs the same person by email, number or name. A merge keeps everything: one row had the email, the other the phone, and the one that remains has both - and all their history.
- Every touch, on the record
- Open anyone and see what was sent to them, what they answered and what was booked, each pointing back to the task it came from.
- Act from the contact
- Email, text, call, create a task or enrol them in a sequence, from their row - and what you send lands on their record.
- Private until shared
- A contact you added is yours. Share it with a teammate, with everyone, or by email to somebody outside the workspace - a fixed letter with the card attached, limited in how often - and take it back when you choose.
Letters designed once, in your brand.
Pick one on the leftbelow to see it work.
- The email designer
- Build the letter from blocks - words, pictures, a button, a file - inside your brand's frame, and see it exactly as it will arrive while you do. The same designer Smart Email uses.
- Names fill themselves in
- Click into a field and pick a token - the person's first name, their company, your own name - and it fills itself in for whoever the letter goes to. One template, every recipient's own name.
- Sent from a task, in one press
- Open a task, choose the template, and it is filled in for the person the task is about - their name, your details, the file - ready to send. Two kinds: a plain one fills in words; a designed one is the whole letter.
- Files that travel with it
- A file placed in the letter goes out as a real attachment with every use of the template, and lives with the template until you take it out.
- The signature builder
- Your photo, a logo for light and for dark grounds, and your details, laid out in any of nineteen designs and appended to what you send.
- Members propose, admins approve
- A member's edit to a shared template waits for an admin before it is sent under the workspace's name.
One letter, written once, sent to every row of a spreadsheet.
Pick one on the leftbelow to see it work.
- Personalised from the file
- Upload a spreadsheet and write once, with its columns as words in the letter. Each person gets their own copy, filled from their row.
- Write it, have it drafted, or design it
- Type the letter yourself, give the AI one line and have it drafted, or open the designer and build it from blocks in your brand. Your columns go into any of the three.
- The brand builder
- Upload your mark and your wordmark, for light and for dark grounds, and pick a typeface. The colours are read from the logos, and every letter you design wears the kit.
- Checked before it goes
- Every row is checked against the letter first - a missing email, a blank a token needs - and the ones with a problem can be set aside rather than sent wrong.
- A test copy to yourself
- Send any single row to your own inbox first and read it as the person would, before the run starts.
- Kept for next month
- Save the email with its files and its column mapping. Next month, upload the new file: headings that moved are matched again, and the rest goes straight to review.
- A task, a pipeline, a sequence
- Every recipient can get a follow-up task on the pipeline you choose, or be enrolled in a sequence, as part of the same send.
Your own link where other people pick a time.
Pick one on the leftbelow to see it work.
- A booking page
- Your own link where other people pick a time - in their own time zone, with only the questions you chose to ask. They confirm; the time is taken.
- Only the times you are free
- Your hours, a gap before or after each meeting, the least notice you will take, how many a day - and the calendars you have connected. A slot it offers is one you actually have.
- Meeting types
- An intro call, an onboarding, a site visit: each with its own lengths on offer, its place - a video call, a phone, an address - and the questions it asks before the time is confirmed.
- One of you, all of you, whoever is next
- One-on-one offers your free times. A group link offers only the times everyone chosen is free. Round robin offers a time when any of you is free, and whoever is next in the rotation gets it.
- A Book a call button, in your brand
- In a designed letter, the Button block offers your booking pages as chips - one per meeting type - and your signature can carry a Book a call button pointing at whichever page you choose.
- On your calendar, in their inbox, with reminders
- The booking lands on your connected calendar with the guest invited, so the invitation reaches them from there; they get your confirmation letter, you get a notice, and a reminder goes to them a day, an hour or fifteen minutes before.
Follow-ups that run on their own.
Pick one on the leftbelow to see it work.
- The builder, in minutes
- Name the follow-up, add an email, say how long to wait before the next, pick a template - and nothing goes out until you press Create sequence.
- Written by AI, one or all
- Say what the follow-up is for, how many emails and in what tone, and the whole chase is drafted. Keep the ones you like, drop the rest, or have them written again - each one you keep becomes a template.
- Email, text, call
- A step is an email, a text message or a call. Emails send themselves; a text or a call waits for you to do it, and the rest of the sequence waits with it.
- Who may enter, and who hears what
- A condition on who gets in - Plan is Enterprise - and a route so different people get different words, from the same door.
- Stops the moment they answer
- A reply, a booked meeting, a click, you, or the end of the emails - and a rule of your own, checked before every send. Nobody gets a third chaser after they have already said yes.
- Clicks that mean a person
- Turn on link tracking, and a click tells you who followed the link - and can end their chase there and then. The clicks security scanners make on the way in are never counted.
- Enrolled from where the work is
- By hand from Contacts or a file, from a Smart Email send, from a connected app, from a task, or when a pipeline stage says so - all through the same door, with the same rules.
Calendar and meetings, in the same place.
Pick one on the leftbelow to see it work.
- One calendar, all of them
- Your work calendar, your own, the ones colleagues share with you - one grid, so a clash between two of them is visible before it happens, and a booking link only offers a time that is free in all of them.
- Your calendar, inside
- Day, week, month or year. Every calendar your Google account can see - your own and the ones shared with you - ticked on or off, in one grid, with a line where now is.
- A meeting, from here
- A title, when, where, the guests, a Google Meet link, and which calendars to put it on. Save, and Google emails the guests; the event is on the grid with its Join call.
- Edit without breaking anything
- Move the time and only the time is written back; guests are merged, never replaced, so nobody is silently dropped. Cancel it, and everyone invited is told.
- Meetings become asks
- Connect Google Meet and every call with a transcript is read: a summary under the Transcripts tab, and the action items in your review queue - with who said them.
- Fifteen minutes before
- A notice in the app and by email about fifteen minutes before a meeting on a calendar you own, with the link to join - so a call is never a surprise.
Stages that move themselves.
Pick one on the leftbelow to see it work.
- Build a pipeline
- Name the process, start from Renewals, Sales or from scratch, and set the stages in the order work moves through them - the last one means finished.
- Stages that move themselves
- A stage can carry a rule: a card moves here on its own when they reply, or when nobody has replied in so many days. The board keeps itself up to date.
- Needs you
- On the Pipelines page, what is waiting on you across every pipeline: who replied, what is due, who has gone quiet - each one a card to open.
- Every card's place, at a glance
- Where each piece of work stands, from the same tasks the team is already doing - with their deadlines and who they are about. And when you must, a card still moves by hand.
