Your whole Workspace

A Google Workspace admin installs Magnetask for the organisation, and it can capture requests across the mailboxes the organisation chooses. One decision, made once, by somebody with the authority to make it.

Just your own mailbox

An individual can connect their own Gmail account and nobody else's - no admin involvement, no access to a colleague's inbox. Useful when one person wants to try it, or when the organisation has not made a decision yet.

What it reads

Message content in the mailbox you connect, to work out which messages contain an actual request.

What it keeps

The task it creates, and a link back to the source message. Not a copy of your mailbox.

What it cannot do

Magnetask never asks for permission to modify your mail, so it cannot label, archive or delete anything. That is not a promise about our behaviour - it is a permission we do not hold.

How to revoke it

Remove Magnetask's access from your Google account at any time, or disconnect it inside Magnetask. Access stops immediately either way.

Magnetask's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Common questions

How does Magnetask turn emails into tasks?
Once you connect a Gmail mailbox, Magnetask reads incoming messages and detects the ones that contain an actual request. Each detected request becomes a draft task showing who asked and linking back to the original email. A person reviews and approves the draft before it becomes a real task on the board.
Does Magnetask read all of my email?
Magnetask reads messages in the mailbox you connect in order to detect requests. Messages that are not requests do not become tasks and no copy of your mailbox is kept - what is stored is the task that was created and a link back to its source message.
Can Magnetask delete or change my emails?
No. Magnetask does not request permission to modify Gmail, so it has no ability to label, archive, move or delete anything in your mailbox.
Do I need to be a Google Workspace admin to use it?
No. There are two ways to connect. A Workspace admin can install Magnetask for the whole organisation, or an individual can connect only their own mailbox without any admin involvement.
How do I disconnect Gmail from Magnetask?
You can disconnect the integration inside Magnetask, or remove Magnetask's access from your Google account security settings. Either one takes effect immediately, and you can do it without deleting your Magnetask account.
Is my email data used to train AI models?
No. Magnetask's use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. Your message data is never sold, never used for advertising, and never used to train generalised AI models.
